What ICP actually is, and why it matters

ICP stands for the Federal Authority for Identity, Citizenship, Customs and Port Security. It's the federal body that handles residence visas, entry permits, and Emirates ID issuance across the UAE — Abu Dhabi, Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah, and Fujairah.

Dubai is the exception. If your visa was filed in Dubai, your status sits with the General Directorate of Residency and Foreigners Affairs (GDRFA), not ICP. People mix this up constantly. If you check ICP and get "no record found," that's usually why.

The legal backbone here is Federal Decree-Law No. 29 of 2021 on Entry and Residence of Foreigners, plus its 2022 Executive Regulations, which consolidated visa categories into the Green Visa, Golden Visa, standard work residence, and family sponsorship tiers you see today.[1]

Frankly, the portal is fine once you know which field to use. The problem is most people guess.

How to check your icp smart services visa status

Three routes. Pick whichever matches what's in your hand.

Through icp.gov.ae (browser): Go to the homepage, switch language to English if needed, and find "Public Services" → "Passport Services" or "Residency Services" depending on your transaction. Inside each service, there's a "Status / Pay" or "Application Status" button. You'll be asked for your application/transaction number plus your passport number or date of birth.

Through the UAEICP app: Download "UAEICP" from the App Store or Google Play. The app is the same backend as the website but faster on mobile. Log in with UAE Pass (recommended) or create an ICP account. Once logged in, your active and historical applications show up on the dashboard automatically — no need to type a file number.

Through the chat / call centre: 600 522222 is the ICP number. They can read your status, but they will not move it forward.

In my experience, UAE Pass login on the app is the fastest path. It pulls every visa, entry permit, and Emirates ID file linked to your passport in one screen.

Watch out: If your visa application was filed by a typing centre or PRO, the file number on your receipt may be the typing centre's internal reference, not the ICP transaction number. Ask them for the ICP reference specifically — it's the one starting with IN, EN, or a 13-digit string.

What the status messages actually mean

ICP doesn't publish a glossary, so here's what you'll see in practice:

Under Process / Under Review — sitting with an officer. Normal duration: 24-72 hours for standard residence visas, longer for Golden Visa nominations because they route through a separate committee.

Approved — decision made in your favour. For an entry permit, you can now download the PDF and travel. For a residence stamping, the file moves to medical fitness and Emirates ID stages next.

Rejected — decision against you. The portal usually shows a brief reason code. Common ones: medical unfit, security concerns, missing documents, or duplicate file. You can appeal or resubmit, but read the reason first because the fix differs.

Suspended / On Hold — something is missing. Could be a document, a fee, or a clarification request. Check your registered email — ICP emails the requirement, but the email lands in spam more often than it should.

Cancelled — the file was withdrawn, either by you, your sponsor, or because it expired without action.

The status flips quickly once the officer hits a button. If you've been on "Under Process" for more than five working days on a standard work residence, something's stuck. Call.

Realistic timelines and fees in 2024-2025

Numbers people actually pay, not the theoretical minimum:

Entry permit (employment): AED 1,150-1,250 standard, AED 250-350 extra for express. Decision in 3-5 working days normal, 24-48 hours express.

Residence visa stamping (2-year, standard work): AED 650 ICP fee plus AED 370 Emirates ID for 2 years, plus medical fitness (AED 320-750 depending on speed). Total typically AED 1,400-1,800 once typing fees are added.

Golden Visa (10-year): AED 2,800-4,000 in government fees, but timelines are the unpredictable part — anywhere from two weeks to four months depending on the nomination route. Investor and specialised talent files move faster than property-based ones.

Family sponsorship visa: AED 350-500 ICP fee per dependent, plus medical and EID. Add salary attestation steps if your monthly income is borderline against the AED 4,000 (or AED 3,000 with accommodation) threshold under the 2022 regulations.[2]

Costs callout (2024): The published ICP fee schedule is on icp.gov.ae under "Service Card." Always check there before paying a typing centre — the markup ranges from reasonable (AED 50-100 service fee) to absurd (AED 500+ on a routine renewal).

Most clients get the urgency tier wrong. Express is worth it for entry permits if you have a flight booked. It's rarely worth it for renewals where you're already inside the country.

When the status doesn't match what your PRO is telling you

This happens. Often.

If the ICP portal says "Approved" but your PRO says "still waiting" — the PRO hasn't checked recently, or they're batching downloads. Push them.

If ICP says "Rejected" but your PRO says everything is fine — believe ICP. Ask for the rejection reason in writing. Under Article 10 of the 2022 Executive Regulations, rejected applicants are entitled to know the cause and have a path to grievance.[2]

If the portal shows "no record found" — three possibilities: (1) the file is in Dubai (check GDRFA at gdrfad.gov.ae instead), (2) the application was never actually submitted (typing centres do this — they take your money, sit on the file), or (3) you're entering the wrong number type. Try the passport number alone with date of birth.

When to involve a lawyer
